Swim Evolution – Terms & Conditions

These Terms & Conditions apply to all swimming lessons provided by Swim Evolution, based at 31 Chudleigh Road, Romford, RM3 9AU. By booking or attending lessons, you agree to the terms below.

1. Lesson Details

Lesson dates, times, and durations are confirmed in your Welcome/Confirmation Email. All lessons take place at the address above unless otherwise stated.

2. Deposits

A deposit is required to secure your booking. Deposits are non-refundable and guarantee your space for the specified course.

3. Payments

• A deposit is required to secure your place. This allows you to attend the first lesson and try it before paying the remainder of the course.

• To reserve your place for the next course, a deposit must be paid by the date specified. Full payment is then due by the start of that course. Reminders will be sent via email and text.

• Accepted payment methods: cash or bank transfer.

4. Missed or Cancelled Lessons

• Planned absences may be added to a make-up list, subject to availability.

• Short-notice cancellations or no-shows are forfeited.

• If Swim Evolution cancels a lesson, we will offer a catch-up session or credit/refund for the cancelled lesson.

5. Changes to Bookings

Lesson days and times are generally fixed. Requests for changes will be considered but cannot be guaranteed. No refunds are issued if you cannot attend your booked time.

6. Liability & Responsibility

• Children remain the parent/guardian’s responsibility until they enter the water for their lesson.

• Parents must supervise children waiting or changing.

• Swim Evolution is not responsible for accidents outside scheduled lesson times, except where liability cannot legally be excluded.

7. Illness

Do not attend lessons if you or your child are unwell with contagious illnesses (e.g., ear infections, conjunctivitis, chickenpox, impetigo, diarrhoea).
Children must be symptom-free for 48 hours before returning.

Refunds are not given for short-term illness. For long-term medical issues, lesson credits may be offered at Swim Evolution’s discretion, with a doctor’s note if required.

8. Lesson Preparation & Attendance

• Arrive ready to swim.

• Lessons start promptly, late arrivals receive the remaining time only.

• Only one adult per swimmer should attend.

• Additional children should remain seated and supervised at all times.

9. Learning Progress

Most children learn basic swimming skills within 4–8 weeks. Progress varies per child.

10. Eating Before Lessons

Avoid feeding your child for at least one hour before their lesson.

11. Lesson Format

• All lessons are one-to-one, lasting 20 or 30 minutes depending on your booking.

• Lessons run during weekends, school holidays, and half terms.

• Swim Evolution closes for approximately two weeks over Christmas.

• Crash courses run as one 30-minute lesson per day for 5 days.

12. Instructors

All instructors are fully qualified, insured, and DBS-checked.
We aim to maintain continuity of instructors but may need to assign a different teacher between courses.

13. During Lessons

Allow instructors to teach without interference. Children perform best when parents observe quietly and let them follow the instructor’s guidance.

14. After Lessons

Changing rooms are available for a short period after lessons. Do not change on poolside.

15. Photography & Videos

For safeguarding reasons, photography and video recording are not allowed during lessons or within the pool area.

16. Refunds

Refunds are only issued in exceptional circumstances and at Swim Evolution’s discretion. Administrative fees may apply.

17. Data Protection

We collect and store personal information to manage bookings and communicate about lessons. This includes:

• Names of parents and students

• Students’ age

• Relevant medical information

• Contact details

• Payment history and lesson progress

All data is stored securely and handled in line with UK GDPR.
You may request deletion or access to your data at any time by emailing swimevolutionltd@gmail.com.

18. Behaviour & Expectations

Each student learns at their own pace. Instructors are trained to work with nervous or anxious swimmers to create a safe and enjoyable learning environment.

19. Changes to These Terms

Swim Evolution may update these Terms & Conditions at any time. The latest version will always be available on our website and at the pool.
